Role Overview
The Administrative Officer will be a crucial team member responsible for the smooth and efficient operation of the Foundation’s administrative functions. This hybrid role requires a highly organized, proactive, and detail-oriented professional to manage both physical and digital office infrastructure, provide support to the team, and ensure seamless coordination across all programs. The ideal candidate will be based in Ibadan and prepared for regular in-office work, while also having the flexibility to work remotely as needed.
Key Responsibilities
Office Management & Administration
- Manage the Ibadan office space, including supplies inventory, equipment maintenance, and ensuring a professional and secure working environment.
- Develop, implement, and maintain efficient administrative systems and procedures (e.g., filing, record keeping, internal communication).
- Coordinate and schedule internal and external meetings, prepare meeting agendas, and draft comprehensive minutes and summaries.
- Manage communication channels, including handling phone calls, emails, and correspondence, and directing inquiries to the appropriate team members.
Financial & HR Support
- Assist the Finance and Administration Manager with basic bookkeeping, processing invoices, expense claims, and managing petty cash in line with organizational policies.
- Oversee personnel records, manage staff attendance, leave requests, and assist with general HR administrative tasks for the Ibadan team.
- Liaise with vendors, suppliers, and service providers to negotiate contracts and ensure timely and cost-effective services.
Program & Executive Support
- Provide high-level administrative support to the Co-founders and Program Directors, including travel arrangements, calendar management, and preparing presentations and reports.
- Assist with the logistics and coordination for Foundation events, outreach programs, scholarship interviews, and grant distribution activities.
- Ensure all administrative activities comply with local regulations and organizational policies for non-profit operations.
Qualifications & Requirements
Education
- A Bachelor’s Degree or Higher National Diploma (HND) in Business Administration, Public Administration, Office Management, or a related field.
Experience
- Minimum of 2-3 years of proven experience in an Administrative, Office Management, or Executive Assistant role, preferably within a non-profit organization or a structured corporate environment.
- Demonstrable experience managing a hybrid work schedule and utilizing technology for seamless remote/in-office operations.
Skills & Competencies
- Willing and able to learn.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines with minimal supervision.
- Excellent written and verbal communication skills in English.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong interpersonal skills and a professional demeanor for interacting with staff, beneficiaries, and partners.
- Ability to handle confidential information with discretion and integrity.
- Must be resident in Ibadan or willing to relocate immediately.
